Staff PINs, permissions, and not sharing one login at the register

Why every cashier needs their own PIN in SpotPro — accountability, voids, and basic loss control.

Shared logins destroy accountability. When everyone is “admin,” nobody is responsible for a voided ticket or a mysterious discount. SpotPro staff PINs exist so the register has a memory of who did what.

Setup

One person, one PIN, least privilege that still lets them work. Owners keep higher permissions.

Culture

Make solo logins a non-negotiable like locking the door. New hires learn it day one.

Owner checklist

  • No shared PINs written on monitors
  • Disable accounts the day someone leaves
  • Review void/discount reports weekly
  • Keep owner credentials offline from the front counter
